    Tell them when you brought it up with GF and she told you she'd booked a surprise birthday weekend away. Make it clear you will only do it if they make it worth your while.

    Can't you do extra work in advance, or get someone else to cover that weekend? But realistically if you already have plans, that's hard cheese for them and the sooner you tell them, the better they can deal with it.
