- keep a tally of expenses off FreeAgent, and enter perhaps weekly/monthly lumps. Eg Feb total travel £X, Feb total subsistence £Y.
This is exactly what I do at the moment. I use a spreadsheet to track individual expenses and enter monthly amounts in FreeAgent. Its still not ideal though.
Apologies to dig up an old thread but just been searching FreeAgent on the site.
I've been using the SJD spreadsheet and find it useful however I've started a free trial of FreeAgent purely to see what it's all about.
My accountant is pretty old school and won't use FreeAgent, so is it worthwhile me using it? I do like to have a good overview of what's going on with my Ltd company though and try and keep nasty surprises to a minimum.
Also, most of the agencies I've been through use self billing. They'll generate an invoice for me automatically. I'm guessing I'll have to create my own invoice in FA and link that to the credited payment in my imported bank account transaction? How would the invoice numbers match up?

When you enter the invoice in Free Agent use the invoice number and date from the self invoice. That should match the reference for the payment in the bank transactions. If you generate new invoices with new numbers it can cause all sorts of problems trying to reconcile payments and may make it look like you owe more VAT and corporation tax than you really do.

I use freeagent with maslins and it's really good. I like the fact I could fob off the accountant but keep the system, though I've no complaints on either end.
As others have said, entering in all your expenses can be a pain when I was doing them all individually / daily but I started just entering mine monthly instead, grouping things into one line. Never tried the app though.

I use the same, FreeAgent is awesome especially then you setup the bank feed, it learns which transaction are what and you just need to confirm them. Maslins are also excellent and you get a reply within a few hours at most, which is 1000x better than Brooksons who would take over a month to get back to you.
Freeagent is great. We went for it big time and are now Scotland's only premium partner. The expenses entering is the only slight downside, but I'm pretty sure there's an api in the offing that'll convert a spreadsheet listing receipts into usable data.
And if your accountant is so old school that he won't get involved with the likes of Freeagent I'd be a tad concerned.
Best tool i use is the App expensify. It is absolutely fantastic and free. I believe its both IOS and android. Works so well and highly recommended. Cant believe its free to be honest
thanks - as I said though my accountant isn't a FA accountant so would there be any benefit in me using this, other than giving me an accurate overview of my companies financial status?
Unless your acct is locked into another system, and won't contemplate anything else, then worst case you give them a section of printouts from FA. Any accountant worth their salts could pick up from there. Certainly don't get dragged into two sets of books, one for them, one for you.
Really whether your accountant is a FA accountant is irrelevant - you pick your software, you pick your accountant - they shouldn't clash, but, if they do, then you choose...
