Once by email, and then once by recorded signed for letter to one of their directors.
In the letter mention the email and who you sent it to, so make sure you send the email to a named person.

Well, the emails finally stopped late last week after I quoted the legal case pointed out by SueEllen - but no apology from VIVID has ever come, so what a rude and impolite load of ******s they are!
I would recommend no-one to deal with them (unless there is no alternative at all, of course) as it would seem that their so-called "systems" can come back and bite you a lot "later in the day" (4 years in my case) if you are unlucky.

I had a contract with Vivid about 2 years ago. There were problems around it, but I don't want to go into details. Neither the agent (who is probably not equivalent with everyone at Vivid), neither the client acted professionally. But I decided to let it go. Since then they keep on calling me, and on one occasion the same agent called me and apologised. But they are no different from any other agency really. I get the same phishing crap from every other big name in the industry, only a lucky few can afford having stable multinational clients at their hands.
So, I got the same email from Vivid (and also the same letter from G2 recruitment), listing all the payments they made to my account, asking to sign it electronically. I checked the transactions, they all matched. Except one thing, they calculated the VAT at 20%, and the letter was asking to confirm that the VAT payments matched. They didn't, because I'm on the flat rate scheme, I do not pay HMRC the full 20%. So I told them I can't sign it as it is not 100% true. I told them in email, also I called them, but the reminders just kept coming.
The about a week ago they called me, then I explained them the flat rate issue, and they told me that they will recalculate the VAT payments according to my situation. The reminders stopped coming, but I haven't received an updated letter either.
So it appears that the situation is the following: both Vivid and G2 signed up with an accountancy/auditor, and the letters were sent out by these auditors, not by Vivid/G2.Comment

In my case, the auditors contacted ME, and NOT the Umbrella company (JSA - very few problems there over the years) through which I worked, and was paid, to the actual client.Originally posted by wogewwabbit View Post...

It took many emails of "NOT me - contact the Umbrella company" (which I did contact early on, and they then confirmed that they were the ones to be contacted over the VAT matter) and several very irate phone calls to VIVID's "HMRC Project Team" before the emails finally stopped coming to me - and that took nearly two weeks from the time that the first one that arrived. Sounds like they did not adequately brief the auditing company/their own internal auditors before they fired off the auditing emails.
Oh, and by the way, I've had 5 (yes, FIVE!) emails about the same job in Essex from another guy at VIVID - even though I told him after the first (and the second, third and fourth!) email that I was not interested and to take me off his "hit list" for the job, and even though I got a read-receipt for each of my emails. Finally told him I was putting him on my Junk Mail senders list (and then did so!).
Never, EVER, again, will I deal with this company!Comment

Similar things happened to me even with the best agencies I contracted with. E.g. with Rullion IT and Redrock. While I was in contract with them sometimes their own agents called me about new opportunities.
Things like this happen, this is still not the worst stuff you should put up with.
On one occasion I asked a government agent about the regulations, and they told me that they know all the sh...t, they know what is going on in the recruitment business, but the government is aiming to even further deregulate businesses. So this is what we have to live with, phishing calls, sneaky agents, wild-wild west style. I don't think we have much choice tbh.Comment

The sooner you get used to it and learn to live with it the easier it will be I guess. I've learned how to deal with these guys. I used to hang up the phone when they started with the phishing questions, but I changed strategy. Instead I tell them, that I know #X companies who are hiring, #Y managers at these companies, please place me first in a contract, and I give you all these details. Most of them suddenly become very friendly, and move onto what concerns me.
If they called with a fake jobspec, they will just say "ok, I will send you the jobspec, and call you back in 5 minutes" - of course I never hear from them again. But that's fine, I managed to minimize wasted time at least.Comment
