I have been approached to offer some consultancy work for a friends work, what I am hoping to do is take a two or three days up there to talk through the requirements, produce some sort of report to the owner to say this is what I think you need.

As its only a couple of days work and I get to catch up with an old friend this will be done free of charge, on the hope of winning some paid work from it, obviously these will be business expenses, flight up, hotel, meal out with the friend and her boss which will all be receipted etc.

Would I be safe just having the trail of original emails and the final report if nothing comes out of it other than a bid process?

Yes. Wouldn't think you even need those, but if there were an enquiry at least you'd be able to easily remember why you were there and what you were doing.
